BirthdayBeep

Privacy Policy

Last updated: October 18, 2026

1. Who we are

BirthdayBeep is operated by Hidden Chapter Editions LLC, a United States company. In this policy, “BirthdayBeep,” “we,” and “us” mean Hidden Chapter Editions LLC.

For privacy questions, requests, or concerns, use our Contact us form linked below. Please do not include verification codes or other account secrets in your message.

When you use the contact form, we use your name, reply email, and message to respond to your request. Resend processes and delivers these messages to our support inbox. We apply submission limits to help prevent spam.

2. Information we collect

We collect information needed to provide birthday reminders, authenticate your account, and keep the service working. Depending on how you use BirthdayBeep, this can include:

  • Account and authentication information, including your phone number, one-time verification-code records, language preference, time zone, reminder times, reminder choices, message channel, and subscription status.
  • Birthday information you add, such as a person’s name, month and day, and optional birth year. Birthday information can relate to other people, so only add information you have the right to use and share.
  • Messages and requests sent to BirthdayBeep through web chat, SMS, or an authorized Slack direct message, including message text, conversation history, delivery status, provider identifiers, and related timestamps. Web chat history may also be saved in your browser’s local storage.
  • Text or documents you submit for a birthday import. Import content is processed to identify birthday entries and may be retained as part of the resulting birthday list and service records.
  • Slack connection information when you choose Slack, including the selected workspace, installer and channel identifiers and names, an encrypted OAuth access token, destination choice, and reminders sent through the connection.
  • Birthday links. If someone sends you a BirthdayBeep birthday link and you submit it, we collect the name, birthday, and optional birth year you enter and add them to that person's list. This does not create an account or subscribe you to messages. To have it removed, ask the person who shared it or use our Contact us form.
  • Imports. Text, spreadsheets, Word or PDF files, and images you upload for import are sent to our AI provider to extract names and dates. Voice input uses your browser's built-in speech recognition (which may be processed by your browser provider, e.g., Google or Apple); BirthdayBeep receives only the resulting text. Contact (.vcf) imports are read in your browser; only the names and birthdays you select are sent to us, never phone numbers or emails.
  • Technical, security, and support information such as session and authentication records, device or request information, error and delivery logs, and records of support or account-security actions.

3. How we use information

  • To create and secure accounts, verify phone numbers, respond to requests, maintain birthday lists, and send reminders through your selected channel.
  • To process chat requests and imports, including using automated systems to understand birthday information and respond to you.
  • To connect to Slack at your direction, let you choose direct messages or an authorized shared/private channel, and deliver reminders there. Channel reminders may be visible to members of that Slack conversation.
  • To provide support, troubleshoot failures, prevent abuse, protect the service, comply with law, and maintain operational records.
  • To produce public-figure birthday or trivia results using searches of public sources such as Wikidata and Wikimedia when a feature requests them.

4. AI-assisted features

BirthdayBeep uses OpenAI-powered services for web, SMS, and authorized Slack chat and for extracting birthday entries from imports. Depending on your request, the information sent for processing may include your message, relevant conversation history, the birthday data needed to answer it, or the import text you provide. These AI requests pass through Replit’s AI integration infrastructure. Do not submit information you do not want processed for that request. OpenAI’s handling of information is also governed by its own terms and privacy documentation.

AI output can be incomplete or inaccurate. Review birthday entries and reminder details before relying on them.

5. Service providers and disclosures

We use service providers to operate BirthdayBeep. They receive information only as needed for the services they provide, subject to their own terms and privacy policies:

  • Replit and the application’s database or hosting infrastructure: hosting, storage, authentication support, and service operations.
  • OpenAI: automated chat responses and birthday-import extraction.
  • Twilio: phone verification, SMS chat, and SMS reminder delivery. Twilio receives the phone numbers and message content needed to deliver those messages.
  • Slack: the workspace and destination information needed for an authorized connection, the direct messages you send to BirthdayBeep, and reminder or chat replies delivered to the selected direct message or channel. BirthdayBeep does not read unrelated channels or direct messages.
  • Wikidata and Wikimedia: public-figure birthday or trivia lookups requested through the service.
  • Stripe: payment processing, subscription management, receipts, and billing emails. We do not store full card numbers.
  • Resend: delivering contact-form messages to our support inbox.
  • Replit web analytics and Google Fonts: basic site analytics and font delivery; these receive your IP address and browser information.

6. Slack connections

You decide whether to connect Slack and which available destination to use. When you send a direct message to BirthdayBeep, the app reads that message and limited recent conversation history to provide the same birthday chat available on the website. It may also send a direct message to the authorized installer or send a reminder to a shared or private channel that you authorize. Other people who can view that Slack conversation may see a channel reminder and any information in it.

You can disconnect Slack in Settings. Disconnecting revokes the connection and removes the stored local connection record; it cannot remove messages already delivered to Slack, which remain subject to Slack’s policies and controls.

7. Connected AI apps (Claude, ChatGPT)

If you connect BirthdayBeep to an AI app via our OAuth consent screen, that app can read and change your birthday list and settings at your request. Information returned to that app is then handled under its provider's terms and privacy policy (e.g., Anthropic, OpenAI), not ours. You can revoke connections in Settings at any time.

8. SMS messaging

We use your mobile number only to verify your account and send the messages you request (verification codes, birthday reminders, summaries, account and billing notices, and replies to your texts). We do not send marketing or promotional texts. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text-messaging opt-in data and consent are excluded from all other sharing described in this policy and will not be shared with any third party, except the providers that deliver our messages (such as Twilio). Message frequency varies. Message and data rates may apply. Reply STOP to cancel, START to resume, HELP for help.

9. Cookies, local storage, and similar technologies

BirthdayBeep uses essential session and authentication cookies to keep you signed in and protect requests. We also use browser local storage for preferences such as language and, where applicable, web chat history and temporary account interface state.

We do not currently use advertising cookies, third-party ad pixels, or session-recording tools. Your browser and our providers may maintain their own technical logs or storage as part of delivering their services.

We use privacy-friendly site analytics provided by Replit to understand aggregate site usage.

10. Sharing and retention

BirthdayBeep is not designed as an advertising product, and we do not operate an advertising or personal-information sale program. We share information with the service providers described above, when you direct us to do so (such as connecting Slack), when needed to protect the service or users, or when required by law.

We retain information for as long as reasonably needed for the purpose it was collected: to provide the service, maintain security and delivery records, resolve disputes, comply with legal obligations, and maintain backups or provider records. Retention varies by record type, and we do not promise a single deletion deadline. Information already delivered by SMS or Slack may remain with those providers under their policies.

11. Security

We use administrative, technical, and organizational measures intended to protect information, including access controls and protected authentication and connection records. No online service or transmission can be guaranteed secure, so please protect your phone, verification codes, and connected accounts.

Authorized BirthdayBeep staff may access your account, including viewing it as you see it, only to provide support, troubleshoot, prevent abuse, or comply with law. Such access is limited to authorized personnel and logged with a stated reason.

12. Your choices and privacy requests

Depending on where you live, you may have rights to request access to, correction of, export of, or deletion of personal information, and to ask questions about how it is used. Use our Contact us form with the phone number associated with your account and a description of your request. We may need to verify your identity before responding. Requests are handled manually; the app does not currently provide a self-service export or account-deletion tool.

You can delete individual birthdays in the app, change reminder preferences in Settings, and disconnect Slack in Settings. To stop SMS messages, reply STOP to a BirthdayBeep SMS or use our Contact us form. Opting out of messages does not automatically delete account records.

13. Children and information about other people

BirthdayBeep is intended for adults and is not directed to children under 13. Accounts are for adults 18+. Do not create an account if you are under 13. Birthday lists may contain information about children or other people because a user adds it; users are responsible for having an appropriate basis and permission to provide that information. If you believe a child under 13 has created an account, use our Contact us form.

14. Do Not Track and U.S. state privacy rights

We do not sell or share personal information for cross-context behavioral advertising, so we do not change our practices in response to Do Not Track signals; we honor Global Privacy Control signals as an opt-out of any such future sale or sharing. We do not sell or 'share' personal information and do not use sensitive personal information to infer characteristics. You may request access, correction, or deletion through our Contact us form; we will not discriminate against you for exercising these rights.

15. International processing

BirthdayBeep is operated from the United States. We and the providers described in this policy may process information in countries other than where you live. The laws and protections in those countries may differ from those in your jurisdiction.

16. Policy changes

We may update this policy when the service, providers, or legal requirements change. We will post the updated policy here and change the date below. For material changes, we may also provide notice through the service or another reasonable channel.

If the English and Spanish versions conflict, the English version controls.
